This Privacy Policy explains how Openoffice Technologies, Inc. ("syrcleHR", "we", "us") handles personal information when you visit syrcleHR.com or use the syrcleHR platform (the "Services"). It applies to educator candidates, school-district users, recruiting-firm users, and website visitors.
1. Information We Collect
Information you provide
- Account data: name, work or personal email, password hash, role (educator, district, recruiter), and organization affiliation.
- Candidate profile data: resume content, certifications, license numbers, work history, education, references, and preferences. Sensitive identifiers (name, current school/district, license numbers, contact information) are stored separately and are not visible to other users until you approve an unlock.
- District / recruiter data: organization details, job postings, billing contact, purchase orders, and team-member invitations.
- Communications: messages sent through the platform, support tickets, and survey responses.
Information we collect automatically
- Device and browser metadata, IP address, approximate location derived from IP.
- Usage events: pages viewed, searches run, unlock requests issued, handshake outcomes.
- Cookies and similar technologies (see our Cookie Policy).
Information from third parties
- Identity providers (e.g., Google sign-in) supply basic profile data when you authenticate.
- Payment processors confirm transaction status; we do not store full card numbers.
- Public sources such as state education licensing registries, where you have asked us to verify credentials.
2. How We Use Information
- Provide, secure, and improve the Services.
- Generate blind profiles by redacting or aggregating identifying details before they are shown to districts or recruiters.
- Match candidates with relevant roles and surface insights to both sides of the marketplace.
- Operate the unlock handshake, including notifying candidates, recording consent, and refunding unused credits.
- Process payments, prepare invoices, and administer subscriptions.
- Send transactional emails and, with your consent, product updates.
- Detect fraud, abuse, and security incidents and enforce our Terms.
- Comply with legal obligations and respond to lawful requests.
3. Legal Bases (EEA / UK)
Where the GDPR or UK GDPR applies, we rely on the following legal bases: performance of a contract (to operate your account); legitimate interests (to secure the Services, prevent abuse, and improve matching); consent (for optional marketing and certain cookies); and compliance with legal obligations.
4. How We Share Information
- With your consent. Candidate identity and contact details are disclosed to a district or recruiter only after the candidate accepts an unlock request.
- Within an organization. District and recruiter teammates with the appropriate role can see jobs, pipelines, and unlocked candidates associated with their organization.
- Service providers. Hosting, database, email delivery, analytics, AI gateway, and payment vendors who process data on our behalf under written contracts. A current list is available on request from legal@syrcleHR.com.
- Legal and safety. When required by law, subpoena, or to protect rights, property, or safety of syrcleHR, users, or the public.
- Corporate transactions. In connection with a merger, financing, or acquisition, subject to confidentiality protections.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising as those terms are defined under the CCPA/CPRA.
5. AI and Automated Processing
We use enterprise AI services to redact identifiers, generate summaries, and rank matches. These services are configured with zero-data-retention or equivalent contractual terms, and your data is not used to train third-party foundation models. Automated ranking is decision-support only; districts and recruiters make their own hiring decisions.
6. Data Retention
- Active accounts: for as long as your account is active.
- Unlock and handshake audit log: retained for at least seven years for compliance and dispute resolution, then anonymized.
- Closed candidate accounts: profile content is deleted or de-identified within 30 days; minimal records may be kept to comply with legal obligations.
- Billing records: retained for the period required by tax and accounting laws.
7. Your Rights and Choices
Depending on where you live, you may have rights to access, correct, delete, port, or restrict use of your personal information, to withdraw consent, and to lodge a complaint with a supervisory authority. To exercise these rights, email legal@syrcleHR.com from the address on your account. We will verify your request and respond within the time required by applicable law. We will not discriminate against you for exercising your rights.
Candidates
- Pause your profile to stop appearing in district searches at any time.
- Decline any unlock request — the district receives no contact information and its credit is refunded.
- Download your data or request deletion from your account settings.
8. Security
We protect personal information with administrative, technical, and physical safeguards including row-level access controls, encryption in transit and at rest, append-only audit logging for sensitive state changes, role-based access for employees, and an immutable unlock log. No system is perfectly secure; please use a strong, unique password and report suspected incidents to legal@syrcleHR.com.
9. International Data Transfers
syrcleHR is based in the United States. If you access the Services from outside the U.S., your information will be transferred to and processed in the U.S. and other countries where our service providers operate. Where required, we use Standard Contractual Clauses or other lawful transfer mechanisms.
10. Children
The Services are intended for use by adults and are not directed to children under 16. We do not knowingly collect personal information from children. syrcleHR is a marketplace for hiring K-12 staff, not a platform for students.
11. Changes to This Policy
We will post any changes on this page and, for material changes, provide notice by email or in-product banner at least 14 days before they take effect.
